What do companies offering document scanning services supply to their customers?

Document scanning companies  operate a bureau scanning service for clients who wish to outsource the scanning of their business paperwork. Every process involved in the conversion of paper into electronic format is catered for from collection of the documents through to delivery of the data and even the confidential destruction of the paperwork if required.

Documents can be collected from an organisation either daily, weekly, monthly or whenever the client has sufficient documents to send for scanning.  The paperwork is then prepared by removing staples, paperclips etc. and checking that index references are clearly visible. A wide range of scanning equipment should be available to provide the best results for all sizes and types of documents from large format maps and plans to till receipts. After the scanning and indexing has been completed a rigorous quality check should be carried out to ensure that the images are of the best quality and the indexing 100% accurate. The data is then delivered to client either on DVD which can be encrypted or direct to a server via a secure web link. The files now can either be re-constituted for return to client or stored on the scanning company’s premises for an agreed period of time before being confidentially destroyed.

It is important too, that a scanning bureau has lockable and alarmed areas to store confidential documents and that all members of staff have signed a confidentiality agreement.

The IPC Group’s document scanning bureau meets all the above criteria and is also able to provide data capture solutions as well as a wide range of document management systems. For further information please click here or call 08081 45 46 47.
