What is an electronic document management system?
An EDM system is a highly structured repository for storing, retrieving and processing electronic documents.
Paper documents which have not been generated in house can be scanned into the system and assigned relevant search references for retrieval purposes. All documents produced in house using Microsoft Office can be stored directly from the application without the need to print and scan.
EDM systems can also facilitate workflow which is the automatic routing of documents to relevant personnel for processing. Version control and document retention tools are other additional features of a document management solution.
Traditionally, EDM systems are hosted on a local area network (LAN) and operate on a concurrent user licence basis. The cost of implementing EDM this way can be quite high and involves input and support from the company’s IT department.
Recently, however, there has become an increased demand for more cost effective solutions such as Documents OnLine. DOL is a cloud based document management system which has no requirement for an IT infrastructure and is run as a subscription service. It is also portable which allows users to access their documents wherever they happen to be on a variety of devices, making it ideal for home or field workers.
